Monitoring Officer

Educational Qualification : B.A.

Age: 25-35 Years Maximum

Relevant Experience: Minimum of 03 years' practical experience from any renowned NGO's.

Purpose of the Job: The Monitoring Officer will be responsible for ensuring an efficient and effective monitoring system for the organization.

Responsibilities

To ensure that organizational monitoring systems and processes are understood and followed throughout the organization for all to keep transparency.

Ensure up to date knowledge on existing monitoring and other policies affecting monitoring
Propose for reviewing and preparing monitoring guideline/manual for the betterment of the organization.
Ensure that necessary forms and formats are in place and periodically reviewed when required
Develop and maintain data bases, data entry template
Incorporate gender issues in monitoring and evaluation systems to Promote gender issues in each and every activity of the program
Develop participatory monitoring and evaluation tools to track project performances and impact

To ensure proper monitoring, coordination and communication with different stakeholders

Keep Communication with proper monitoring to ensure proper transaction
Maintaining Coordination and communication with finance team and other members of the organization.
Overall project monitoring and performance data handling, management and storage.

To ensure compliances with GOBs and donors policies/monitoring rules

Ensuring all reports comply with all relevant policies, taxations rules etc and proper review and processing of all monitoring reports are reviewed and processed accordingly.
Ensure accurate expenses allocation to donors following donor funding conditions, guidelines, period and currency, as well as other factors.

To ensure consistent and transparent monitoring record keeping and comprehensive documentation processes.

Ensuring a well functioning monitoring information flow and making able all relevant people to understand and responding response accordingly.
Ensuring monitoring procedures are accurately and timely updated in a professional way, independently reviewed, reconciled and effective feedback given to relevant staff where errors or omissions are identified.
Ensuring efficient and timely consolidation of monthly head office and field based monitoring data and timely posting to the accounting system based on authorized documentary supporting evidence.
Ensuring that all monitoring reports submitted to the Executive Director or management.

To ensure all reports are produced timely with accuracy and submitted to the Executive Director

Ensuring an up-to-date and in depth knowledge and understanding about the forms, formats, policies, procedures and the deadlines of monitoring and reporting to the Executive Director
Ensuring accurate and timely collection of data and preparation and submission of Report
Ensuring proper and complete monitoring documentation that is retained in a convenient location to support the reports submitted and audit trail.
Ensuring that following receipt of the accurate reports; feedback is responded to timely and accurately following up on any queries or questions on behalf of the organization.
Ensuring external audits are completed and reports are submitted to the donors, Related Govt department and concern organizations.

Accountability: The monitoring officer is accountable to the Executive Director for performance.
